Connect Square and bring in your sales
Link your Square point of sale, match its items to your recipes, and start seeing real sales against your costs.
Sales is a paid module that has to be switched on for your venue. Once it is, connecting your point of sale turns Chefy's costing from an estimate into a record of what actually sold, at what price, and what it really cost you.
Square is the point of sale Chefy connects to today. Others are listed on the connectors screen and will light up as they become available.
Connect Square
- Open Sales. With no connector set up yet, the page offers the available connectors.
- Choose Square. Square's own sign-in opens; sign in with the account for your venue and approve Chefy's request for access.
- Chefy starts syncing straight away, pulling down every item sold through that point of sale.
Match POS items to your recipes
Every item sold through Square needs a recipe in Chefy to attach its sales to. After the first sync:
- Where a POS item's name closely matches a recipe you already have, Chefy proposes the match and asks you to confirm it.
- Where it cannot find a match, Chefy creates a placeholder recipe for the POS item. You will see these appear in Recipes and in the Sales page's list of items awaiting review.
- Click each placeholder and choose one of:
- Connect to an existing recipe, when you already have the recipe and the names just did not line up.
- Create a new recipe for it, then build the recipe as normal (see Build a recipe from scratch).
Once a POS item is connected, the point of sale becomes the source of truth for that recipe's sale price and name, and for its image and some tags if they are set in Square, so the two never drift apart. To break the link later, open the recipe and disconnect it; sales for that POS item then go to an unassigned bucket on your reports until you connect it again.
Run Sync from the Sales page whenever your Square menu changes to pull new items in.
What you get once sales are flowing
- Real COGS: recipes on the menu show what they actually sold for against what they cost, not just the planned figure, with a sales graph over time on each recipe and in the Recipes list.
- Sales summary: the Summary tab shows Today, Yesterday, Week to date and This Month by gross margin, POS sales or quantity.
- Menu engineering: the Matrix tab plots every item by popularity and margin into Stars, Plowhorses, Puzzles and Dogs, so you can see your best sellers and your biggest wastes of money at a glance.
- Insights: which dishes sell at which times of day and services, strongest and softest days, how this period compares with the last.
- Forward-looking: with enough history, Chefy starts to predict what you will need to produce (Fridays sell this many of that, so prep this much) and can send a daily report to anyone in the venue who wants one.
