Make a change safely

Use Planning mode to edit products and recipes, see the effect before it goes live, and submit the change for approval.

Chefy has two views of your venue: Live and Planning. Live is everything that is approved and in use right now. Planning is where you make changes, see what they would do to your costs, and submit them. Nothing you do in Planning touches Live until it is approved.

This applies to products, standard products and recipes alike.

Start an edit

You do not have to "open" anything to start editing. Get into Planning mode and edit.

  • From a list: right-click the item (on desktop) and choose Edit. Chefy switches you to Planning and opens the item ready to change.
  • From the item itself: open it, then switch the view from Live to Planning and start editing.

Every change you make is saved into that item's plan as you go. Leave and come back whenever you like: right-click the item and choose View edits, or open it and switch to Planning, and your planned changes are there.

New products and recipes start life in Planning too. They only become part of Live once they are submitted and approved.

See the effect before you commit

While you are in Planning, every planned change in your venue is applied at once, all the way upstream. If a product has a planned price change, every recipe that uses that product shows its planned cost, and every menu item built on those recipes shows its planned COGS.

Chefy marks the difference for you:

  • An item that is affected by someone else's planned change (for example a recipe whose product price is changing) gets a chip on its card so you know it is moving indirectly.
  • Every number shows a percentage-change chip: the Live value against the planned value.

Flick between Live and Planning on any item to compare what it is now with what it is about to become.

Submit the change

When you are happy with a planned edit, look at the banner above the item's details card. It tells you what state the plan is in and what you can do next.

  1. While it is a draft, the banner offers Submit Draft and Discard Draft. Add a note explaining why you are making the change; the reviewer sees it alongside Chefy's own summary of what changed.
  2. Once submitted, the person who handles reviews in your venue is notified. You can wait, or rescind the submission if you want to edit further.
  3. The reviewer can Approve the draft, which moves it into Live, or Request Changes with notes about what they want done differently. If they request changes you are notified, make the edits, and submit again. This can go round as many times as needed.

If your venue was set up with No approval needed, the banner offers Approve Draft instead of Submit, and your change goes live as soon as you approve it.

Look back at what changed

Every approved change is kept in the item's change history, so a reviewer, or you, can see exactly what changed and when. For a change that is still in review, the quickest comparison is the Live / Planning switch on the item itself.
