Invite a teammate and choose their role

Add the people who work in your venue, give each the right level of access, and manage them afterwards.

Chefy works best when the people who cost, cook and approve are all in it. Invite them from the Users page and choose a role that matches what they should be able to do. You need to be a Venue Admin to invite people.

The roles

Venue AdminEverything in the venue: create recipes and products, approve revisions into Live, change sale prices, edit venue details, open a stocktake, manage users.
Team MemberDo the work, but not approve it. Team Members can create drafts and propose edits in Planning; only a Venue Admin can approve them into Live.
View OnlyLook, do not touch. Sees Live data and cannot open an edit.
Chefy Go OnlyAccess to Chefy Go only, with no access to the main application.

Pick the lowest role that lets the person do their job. You can change it later.

Send an invite

  1. Open Users from the main navigation.

  2. Click Add User.

  3. Details: enter their Email (required) and Name, and optionally a profile picture. Click Continue.

  4. Permission: choose their role for the venue. Approval for this user lets you override the venue's approval setting for this one person; leave it on the venue setting unless you have a reason not to. Click Continue.

  5. Confirmation: check the details and click Continue to send the invite.

When you choose a role, Chefy shows a matrix of what that role can and cannot do, so you can confirm it before you send.

What the invited person sees

They get an email asking them to accept the invitation. The link takes them to a screen with a one-time code, exactly like signing up: they enter the code (or arrive with it filled in from the link), choose a password, and they are in your venue.

If they already belong to another Chefy organisation, Chefy asks them to choose. A person can only belong to one organisation, so they must drop their access to the other one to accept yours.

Keep track of invites

Back on Users, each invitation you have sent shows as a pending card with its status and how long until it expires.

  • If it expires before they accept, Resend it.
  • If you sent it by mistake, Revoke it.

Once accepted, the person moves from the pending cards into the user list.

Manage a user later

Everything else about a user happens from the same Users page. Find them in the list and click Edit to change their name or photo, reset their password, change their role, or remove them.
